Responsibilities and DutiesMain Duties and Responsibilities: Administration and management (Sponsors)Set a Sponsorship Goal and create a strategy, in partnership with the sponsor.Secure new and existing cash sponsorships.Ensure all qualifying sponsor logos are included in publications (newsletters, program, etc.).Update information, statistics as and when needed for the promotion or fundraising in the Organisation.Coordination and correspondenceFacilitate contact and follow up with past and potential new sponsors.Ensure a Proof of Performance package is delivered to each sponsor.Managing and reviewing effective sponsor relationship through correspondence (writing and sending letters/greetings for all (past and potential) sponsors)Ensure all aspects of sponsorship programs, mail shot, e – newsletters are delivered in professional and timely manner.Act as a sponsorship liaison /host to visiting sponsors and distribute event reports to sponsors and ensure right information about El Shaddai.Corresponding with all Coordinators in various countries.Reporting & CorrespondenceReporting and documentationMaintain accurate records of all sponsors approached and outcomes (Handling the response form given by ESCT).Responsible to maintain & update necessary records and files as per QMS stipulations.Update and maintain sufficient stock of ESCT literature/promotional material.Maintaining, compiling editing and documenting the monthly and annual reports of all ESCT/, projects, e – newsletter/publication/literature.Maintaining donation received file.Dispatch Welcome pack to prospective sponsors/donors of a child/project; update sponsor Database & Maintain a register (hard copy).Maintain and update a database of sponsor contacts and emails, relevant information other than UK sponsors.Preparing quarterly report for UK trustee meeting and Indian Trustee Meeting and updating MD with regard to the same.Update Database with new admission and exit details and as and when transferred.Update sponsors if required (UK sponsors will be updated by UK Trustee).Create Child Profile for sponsorship purpose and update as and when required.Evidencing, Handling Emails and WebsiteCheck, forward and reply for necessary emails to the concerned Management personnelEvidencing of restricted funds & need list (Collect photos Information & send to the sponsors, UK trustees, Other countries & ManagementFollow -up and updating need list, projects of Homes, Shelters, Centres and SNS as and when approved by management and ready to put on the website.Follow up with the online database for UK office & the Co-founders to view.Sending Photos, email to the sponsors of their sponsored child in case of Birthday & as applicable.**Other Country Sponsorship: Update the sponsor list in the Database.Print out every statement that comes from the other countries Trustees and file for record.Allocate New Child for the Sponsors & send the profile and other details through email or Post.**Online FundraisingHandling Global Giving by updating information, projects, campaigns and attending the webinar as when required and giving weekly feedback to the MD.Prepare project proposal, blogs etc., as per the requirementsGeneral ResponsibilitiesChild-Sponsor Database and InteractionsUpdating and documentationPrinting of flyers, promotional materials, RF books envelops and cards.Handling website issues and queries and updating the website information.Follow up with online donation and queries.Maintain accurate records of all sponsors approached and outcomes.Updating every month with the list of children in Homes and Shelter/Centre/Outreach Project through email and keeping record of the same.Saving weekly, monthly and annual reports and pictures in the Drive.Key SkillsGood interpersonal skills, Communication Skills, Organizational skills, time management, dependable, Decisive, optimistic and resilient.Required Experience and Qualifications1 – 3 years’ experience (Bachelor /Master Degree)Job Type: Full-timeSchedule:Day shiftWork Location: One location
