FIND India has undertaken several projects focused on TB, viral hepatitis C, COVID-19 and Antimicrobial Resistance (AMR).

Your responsibilities/Job description:
The Procurement Assistant shall be closely working with the Dy. Procurement Officer of FIND India.
1. Assist in the preparation of specifications through market analysis and assist in Vendor development and vendor management.
2. Assist in the preparation of ITB, RFQ, RFP and comparative statement, and evaluation report. Assist in the arrangement/coordination of purchase committee meetings.
3. Assist in the preparation of contract and purchase order and follow-up of purchase order up to payment.
4. Assist in organizing and transmitting documentation to requestors related to offers, evaluation criteria, and correspondence with bidders.
5. Assist in managing the purchase ordering process, examining, and analyzing the adequacy of information ensuring that an appropriate level of authorization is received prior to releasing the orders according to SOPs.
6. Assist in maintaining a database and organizing vendor files, catalogs, technical literature, and price information for ready access; establish a call-up system to follow up on procurement orders being held up.
7. Assist in the analysis and evaluation of information regarding vendor performance regarding quality, price, delivery, and equipment, and ensure that it conforms to FIND supplier qualification operating procedure.
8. Working closely with the finance team to submit procurement related invoices for payment processing along with supporting documents.
9. Assist and prepare responses to audit related queries whenever required
10. Assist in maintaining good communication and coordination between all the stakeholders (i.e., CTD and procurement agency) and advise requisitioning units and recipient entities on the full range of procurement issues, providing support and guidance at all stages of the procurement cycle.
11. Do and ensure regular updates of a database for contract documentation, TOR, terms of references, and a list of suppliers of goods and services.
12. Do and ensure proper filing and record of all procurement related documentation
13. Perform other duties and responsibilities as required.
Education and skill requirements/Desired qualifications and experience:
▪ Bachelor’s degree in any field.
▪ Minimum 3 years of work experience in the field of project administration with an emphasis on procurement and contracting management
▪ Fluent in both written and verbal English and Hindi, good communication and interpersonal skills, strong presentation skills, and good organizational skills.
▪ Good skills in basic computer programs MS Office (Word, Excel, Outlook, PowerPoint)
▪ Ability and willingness to travel extensively (up to 30%), based on the need of the job
Nature of Appointment:
The selected candidate shall be initially offered a fixed term employment contract until 31st March 2024.
Compensation offered:
The gross remuneration budgeted for the position shall be commensurate with the qualifications, experience, and salary history of the selected candidate.
