We are currently seeking an experienced professional to join our team in the role Executive Assistant
Principal responsibilities:
Performs advanced, diversified & confidential administrative duties. Takes a pro-active approach to problem, solve routine and general office issues.
Maintains calendar of appointments, meeting itineraries and coordinates related arrangements.
Ability to prioritize and effectively manage a large volume of internal and external meeting requests to agreed timescales and often across different time zones setting up WebEx, video or telephone conference facilities as required.
Event organisation and management including off-sites and town halls
Prepares and consolidates reports/letters/organization charts and handles management correspondences
Ensure confidentiality of reports and other documentation
Handles the recording and maintenance of expenses, invoice processing and ordering stationery requirements
Handles travel needs/ booking with HRG (appointed travel agency) and all admin online requests (e.g. GSC Online / Visitor Approval online / ITSR / Buysmart)

Maintains good working relationship with internal, external contacts and GSCs wide.
Facilitates/ Oversees other business – related projects, ad hoc and duties as assigned.
Assists in the implementation of the Group compliance policy locally by containing compliance risk in liaison with the Global
Compliance Officer or Local Compliance Officer ensuring adequate compliance resources and training, fostering a compliance culture and optimising relations with regulators; Maintains HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators; Awareness of Operational Risk associated with the role, in compliance to SOX (Sarbanes-Oxley Requirements) for Group Service Centers (GSCs).
Requirements
Qualifications:
Must hold a bachelor’s degree of any course from a reputable academic institution
Proficient in Microsoft Word/Excel/Powerpoint and Outlook
Excellent interpersonal, written and verbal English communication skills
Excellent planning and organisational skills; proactive and self-motivated
Ability to multi task and manage ever changing and often conflicting priorities in a challenging environment with limited direction or supervision/ manage time effectively and prioritise workload
Ability to interact professionally with all levels of management in different nationalities
