Key roles and responsibilities:Location: MumbaiDuration: ~ 6 monthsAbout the Project: We have worked with the Government of India on several capacity building initiatives aimed at building a future ready civil service with the right attitude, skills, and knowledge, aligned to the vision of a New India.In the current initiative, we are looking to build citizen centric thinking in ~ 4.5 lakh employees in one of the largest Government service departments. These employees are spread across India, including small towns, rural villages etc.Your role as Administrative CoordinatorAs Administrative Coordinator, you will be required to take end-to-end responsibility of seamless organization of the trainings pan-India. You will be a nodal point of contact for a team of ~10 Zonal Coordinators across India (1 for each training centre) for any scheduling, traveling, lodging and boarding, contracting, invoicing related to the trainings to be conducted in respective training centres.Your responsibilities will include: 1. Play an active role in planning and managing logistics for pan-India trainings. Coordinate with Zonal reps and ensure that all the scheduled trainings are organized properly.2. Assist in organizing intra city travel, lodging and food related bookings (wherever needed) and manage budgets based on pre-defined slabs3. Act as a custodian of driving cost efficiencies at all levels and keep track of all applicable reimbursements (travel, boarding and lodging, etc).4. Manage end-to-end administrative engagement for all 80-100 ecosystem partners (including NDAs and contract signing, personal details database management, monthly invoices and reimbursements, etc). Ensure that all the records are organized and maintained properly, following all the set protocols.5. Identify and pre-empt potential operational flashpoints in all training centres and resolve any administrative challenges which might occur during the implementation of the project.6. Collate and organize various survey related and other kinds of data collected from various centres across the country.Selection Criteria: The right person for this role:· Has minimum 2-3 years’ experience of administrative coordination of large-scale projects.· Should have prior experience of handling administration of projects which are spread geographically; with a good understanding of training, scheduling, tracking and reporting· Has experience of working and coordinating with multiple stakeholders (experience of liaising with government professionals is a plus)· Has experience in managing budgets and reimbursements of partners.· Should have excellent organization and time management skills.· Should have an eye for detail and simultaneously be able to work in dynamic fast paced environment· Should be proficient in Microsoft Word and ExcelAbout Illumine: Illumine works on large-scale knowledge interventions that enable human change at scale.
