Assistant Facility Manager
Work Dynamics
What’s this job involves:
Prioritising the facilities’ needs
Working with site Facility manager, you’ll oversee the day-to-day operations and ensure that all facility services are covered. Likewise, you’ll strive for continuous improvement in the process.
You’ll also keep an eye out on the various supplies & consumables and ensure that it has adequate stocks and materials to keep the operations smooth like a well-oiled machine. Likewise, you’ll manage supply and service contracts on behalf of the clients. You’ll accountable for ensure local statutory compliance.
You’ll carry out routine facility inspections to proactively identify the maintenance issues / risks. You’ll log the issues in corrigo – WO Tool & track till closure of the same. Also, you will create the work permits for various upkeep works.
In addition, you’ll help to mitigate risks by taking part in emergency evacuation procedures and supporting business continuity plans.
Also, part of your mandate is to monitor the facility budget & accruals. You’ll also see to it that vendor & landlord invoice processes comply with standards / PO or contract. You will support to ensure timely payment (as per contract terms) to all the vendors & landlords thru client payment system.
You will support FM to coordinate with other workstreams, like Transaction management, PDS to lease renewals & projects.
You will participate in CIWG program to showcase the best practices account team is implementing.
Going above and beyond expectations
Client satisfaction is second nature to the person in charge. In this role, you’ll take on difficult issues and seek out opportunities to improve operations. You’ll also be constantly in tune with the team to achieve key performance metrics and meet service level agreements. You’ll analyse corrigo WOs to understand trends; undertake corrective actions.
You will maintain a robust & structured client communication to deliver seamless client services.
In addition, you’ll carry out routine service audits to ensure that the team maintains its overall performance. You’ll also be responsible for creating stock reports, meeting minutes and monthly management reports to the clients.

Strong knowledge of property operations
Playing a key role, the ideal candidate holds a degree in business or hotel and building management, and at least three to 3-4 years’ experience in facilities management. You must also demonstrate good working knowledge in occupational safety, as well as aptitude in client-centric operations.
Solid background in team management
