Administrative Assistant to the Executive Director
Essential Skills & Experience:
Extensive Calendar management over India & US time zones
Business travel arrangements – Travel & Expense processing & reconciliation
Organize meeting/conference calls, offsite etc
Assist in preparation of documents/minutes for presentations/meetings
In close partnership with Business Management office help with coordination of weekly, bi-monthly, monthly meetings including Staff meeting, Metrics Review, Business Reviews
Invoice processing
Overseeing administrative procedures and suggesting improvements
Work as a team in providing ad hoc/holiday cover based on business requirements
Proactive anticipation and thinking e.g. looking ahead and ensuring all meetings are confirmed and correct, making changes to mail groups to reflect organization changes without being prompted
Knowledge of general office procedures (e.g., filing, correspondence, arranging meetings)
Expected to work as part of a strong administrative team, working in partnership with other assistants to ensure cover is always provided.
Room bookings – Telepresence
Advanced ability to organize and manage own time and manager’s time
Schedule meets and assists Leadership in being timely to attend specified meets.
Assist in various center wide efforts by working with the other EA’s or solely manage events.
Organize and keep the KYC specific people engagement efforts on by driving a pre organized calendar. Engage staff from production and get their involvement.
Tact and good judgment in confidential situations and the ability to interact with senior management
Flexibility with regards to hours, when needed
Ability to work within tight deadlines
Support all the Philanthropy efforts and maintain all related documentation effectively
Support Operational control activities
Preferred skills:
Graduate and work experience preferably in banking/financial service industry
Ability to perform in a fast-paced environment and handle multiple tasks through effective prioritization
Good analytical and problem-solving skills
Excellent written and oral communication skills
Effective interpersonal skills & Excellent organizational skills
Strong team player and has the capacity to build good working relationships with cross functional/geographical teams
Result oriented, accepting responsibilities and challenges that take them outside their comfort zone
This role requires meticulous attention to detail
Strong PC skills – proficient knowledge MS Office, in particular Outlook, Excel, and PowerPoint
Prior Executive Assistant experience preferred
Flexibility to working up to 12 am in the night or other timings as required
