Job Purpose/Overview
The Factory or Site Admin Officer will play a critical role in managing the Admin & welfare facilities at the factory and make mars mean more to associates through their experience.
Key Responsibilities
Management of Time & Attendance- Adherence to Working hours Policy , Overtime policy & related Statutory compliance
Payroll- Monthly attendance input to Payroll Specialist for the purpose of Salary Computation
Facilities Management- Smooth operation of Canteen , Transport , Change Room
Housekeeping @ Site – Responsible for External upkeep of the site
PPE Management for Associates & Visitors
Visitor Management- Managing the requirements during the planned visits at the site
Onboarding Support for associates in terms of I card, Business cards, Travel portal Login ,etc
Organizing and managing Celebration events for the site
Support facilities related Audit Requirements for HSE , QMP, FSSI & RWA
Contractor Management ( facilities & Loading /Unloading)– Hiring & Orientation training
Support the plant manager with all factory related communication by maintaining the communication notice board
Support AR in Maintenance of personal files for factory based associates
Ensure Safety, Food Safety and Food Security compliance
Lead Projects related to safety, health and wellness
Responsible for bringing In Cost optimization initiatives and support in implementation
Monitoring of Budget vs Actual and work within the allocated budget and lead VL projects in their area
Vendor Management for the facilities supported by this role
Ensure execution of various committees constituted in the factory
Manage and Liaise with Sodexo for IFM
This incumbent manages and governs contractors/Intern Hiring, Orientation, training, work allotment and Pre-grievance engagement
Shall organize yearly medical checkups for everyone at site and ensure the legal compliance
Context and Scope
o Resolve complex organizational level disputes and grievances in collaboration with Supply Team & AR
o Partner with MGS for renewal & finalization of vendor contract with appropriate approvals and policy compliance
o Leverage knowledge of best practices to enhance associate experience
o Participative decision making through welfare committees to ensure smooth operation of facilities

1. Education & Experience
Or 7 to 10 years’ experience in handling factory administration & Labor relations
