Job Description
Calendar Management
Calendar management for nominated team members including meeting room bookings, teleconference set up, catering, conferences, and eventsManaging MS Office Calendars by creating invites, responding to invitation requests, coordinating with other teams/EA’s and key internal and external stakeholders in a timely mannerScheduling calls with internal & external stakeholders and sending out reading material / presentations ahead of these calls
Visitor management & Meeting room bookings
Email Intimation to reception for daily visitorsEnsuring meeting rooms are booked and available on time for visitorsEscorting visitors to meeting rooms if the front office is busy or unavailableManage & coordinate visits of global team members- assistance with scheduling meetings, hotel accommodation, local transport & food arrangementsInforming HR/Front desk of global visitors so that seating arrangements can be made in advance
Travel Management – including visas, flights, hotels and car bookings. Ensure travel policy is adhered to in letter & spirit
Correspondence and Documentation support
Correspondence with internal and external stakeholders on behalf of the manager & teamPreparation of presentations, as and when requestedDocument Management including printing/copying/binding of documents, creating and maintaining effective filing and archiving process and keeping updated client contact database
Team events
Working lunches – ordering meals as per set guidelines, ensuring pantry staff is apprised of the details of service and keeping the front desk informedOrganizing team drinks, meals & offsites in line with Company T&E policy
Others:
Expense Management : Managing general expense claims for team members through ConcurVendor payments – checking and uploading vendor invoices for paymentMaintaining leave records of the team, if requiredPreparing for new joiners in team – desk setup, welcome kit, business cards etc

Good in multi-tasking and able to work in a high pressure, highly demanding, changing working environment.Respect for privacy and confidentialityStrong organizational skills and high attention to detail.
