Greeting and Check-In: Welcome clients as they arrive at the spa, provide a warm and friendly greeting, and assist them with the check-in process.
Appointment Scheduling: Manage appointment bookings, ensuring proper scheduling to avoid overlaps or gaps in the schedule. Coordinate with therapists and other staff to ensure appointments run smoothly.
Customer Service: Provide exceptional customer service by addressing clients’ inquiries, concerns, and requests. Offer information about spa services, packages, and promotions.
Phone and Email Handling: Answer phone calls and respond to emails promptly, providing accurate information about services, availability, and pricing.
Payment Processing: Handle payments for services, retail products, and gift certificates. Process transactions accurately and efficiently, and provide clients with receipts as needed.
Cash Handling: Manage cash and handle cash register operations, ensuring accuracy in transactions and maintaining the security of cash.
Check-Out and Follow-Up: Assist clients during the check-out process, ensuring they are satisfied with their experience. Collect feedback and encourage them to rebook future appointments.
Retail Sales: Promote and sell retail products, explaining their benefits and helping clients choose products that complement their spa experience.
Maintaining Reception Area: Keep the reception area clean, organized, and well-presented. Ensure that marketing materials, brochures, and promotional materials are available.
Client Records: Maintain accurate and confidential client records, including personal information, medical history, and treatment preferences.
Upselling and Cross-Selling: Identify opportunities to upsell or cross-sell additional services or packages to clients, enhancing their spa experience and increasing revenue.
Conflict Resolution: Address client concerns or issues with professionalism and empathy. If necessary, escalate unresolved matters to the appropriate manager.
Coordination with Staff: Communicate effectively with spa therapists, aestheticians, and other staff to ensure a seamless client experience and address any specific client needs.
Health and Safety Compliance: Adhere to health and safety regulations, including maintaining cleanliness, sanitization, and proper use of equipment and products.
Administrative Tasks: Assist with administrative duties, such as managing inventory, restocking supplies, and contributing to daily reporting.
Appointment Reminders: Provide appointment reminders to clients via phone, email, or text message to minimize no-shows and keep the schedule running smoothly.
Multitasking: Handle multiple tasks simultaneously, such as answering phones while assisting clients in person and managing appointments.
Professional Appearance: Maintain a neat and professional appearance, adhering to the spa’s dress code and grooming standards.
