In Asia Pacific, Optiver was one of the first global market makers to establish a presence in the region, with the incorporation Optiver’s APAC head office in Sydney in 1996. Since then, we have expanded our footprint by establishing offices in Taipei (2005), Hong Kong (2007), Shanghai (2012) and Singapore (2021). The business in Mumbai is newly created and deemed to be an integral part of the APAC strategy over the coming years, with anticipation of significant growth.
WHAT YOU’LL DO
We are looking for an experienced Senior Office Manager to manage, coordinate and support our newly opened Mumbai office. Your primary responsibilities will include, (but are not limited to);
Provide HR administratve support
Manage local paper based confidential employee files
Payroll support
Front of house and reception duties
Co-ordinate all aspects of facilities management including OHS
Support the day to day running of the office by:
Managing office supplies and maintenance of equipment
Be on hand executive support for management
Manage third-party service providers such as cleaners and caterers
Provide ad-hoc office administration where necessary such as printing, binding, errands, postage and couriers
Co-ordinate and communicate employee benefits
Provide accounts payable duties
Booking domestic and international travel
Organise and execute company events to a high standard
Act as liaison/concierge to acclimate internal transfers and new joiners to India office
WHO YOU ARE
Ability to coordinate with internal and external stakeholders, including building management, facilities etc.
Understanding of building infrastructure fundamentals
Strong administrative and organisational skills
Experience managing corporate events and travel bookings
Business and administrative certifications
Advanced Microsoft Office skills
Minimum 3 years’ experience as an Office or Facilities coordinator or manager in a fast-paced environment.
Strong attention to detail
Solutions focused and proactive – common sense approach
Excellent English written and verbal communication skills
Proven ability to manage confidential information and materials
Be able to communicate with a wide range of cultures and personalities
