Full Job Description
Office Administration
Organizes group events and meetings both onsite and offsite. Has responsibility for planning and logistics of simple and complex meetings
Coordinate with IT support team to request IT needs for teams as well as follow up till it provided to /procured for the team.
Order office supplies and repairs to equipment to keep the office well-equipped and stocked for the staff.
Complete vendor coordination for supply & billing.
Arrange simple and complex travel arrangements of team
Compile and maintains budget information. Processes invoices, creates requisitions.
Communicate effectively sensitive or confidential with the team and other staff.
Managing with vendor for internal and external requirements.
Help visitors plan their visit inside or outside the country.
Payment/ reimbursement/ approvals Follow-ups
Single point of contact for cross functional support teams (IT, REFM, Finance, HR & Transport)
Create & track External Worker Requests (CRs)
Track the local employee awards quarterly
Plan and organize weekly management meeting, take MoMs and follow-up on action items.
Training Coordinator
Work with PDL Team to ensure that learning requirement are planned and executed
Manage employee-facing communication channels (Training invites)
Work with SMEs to plan internal training sessions
Align with PDL team for external training requirements
Track and prepare training KPIs on quarterly basis
Partner with CMI training and skills transformation activities
Plan & Execute GET trainings and onboarding activities (working with HR and Hiring managers)
about you
Bachelor Degree with Executive Assistance, Admin and Training Coordinator experience.
Must be 5+ years of experience in IT Service or Technology Captive organisation.
Must to have Excellent communication skills, Stakeholder management, Administration jobs working with local support system.
Person is responsible for managing the schedules and communications of key company executives.
Their duties include prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements.
Must to have prior experience in vendor training management and coordination actiivties.
