What you get to do in this role:

• Coordinate internal and external meetings including staff meetings, executive briefings, all hands meetings, QBR’s and off-site meeting and events. Assist with meeting needs, agenda support and note taking.
• Provide business operations support to India IT Leadership council
• Effective use of multimedia for India IT Communication – Filing & retrieving corporate records, documents and reports using SharePoint and looking for ways to improve current systems.
• Budget, operating plan and execution reports
• Monthly/Quarterly reports to IT Leadership team
• Employee Communication – Quarterly All-Hands meeting, Now@Work
• Compile trends from Employee Voice Survey – Learning & Development (Including Architecture), Driving Innovation, Career Orientation, Employee Recognition
• Apply discipline and rigor around meetings and ensuring agendas and clarifying context and purpose with senior leaders you support as well as participants.
• Handle all travel (flight, hotel, car) arrangements for domestic and international travel.
• Expense management duties, which includes submitting expense reports and receipts in a timely manner.
• Provide onboarding support for new hires, assist with cubicle assignments, equipment requests, onboarding meeting scheduling and being a point of contact for new hire.
• Provide onboarding support for new vendors and agencies when needed, ensuring they have the right access and documents/enablement required to get them up and running.
• Project work as needed to support each teams’ goals.

Qualifications

To be successful in this role you have:

• 8+ years of Executive assistant and business operations experience
• Proactive, one step ahead works ethic, attitude, and approach
• Able to multi-task and juggle multiple calendars, teams, and requests
• Ability to drive schedules and agendas with deeper understanding of context
• Strong teamwork and interpersonal skills, with a desire to offer suggestions and improvements
• Superior communication skills with the ability to work across all levels, internally and externally
• High level of confidentiality, discernment, and judgement
