Nature Based Solutions (NBS) Team, of the Biotechnology Group of PTX/C organization, is rapidly growing in size. The team is set to deliver the R&D upon which the NBS and Agriculture and Sectoral Decarbonization businesses, and Shell’s Net Carbon Footprint (NCF) reduction ambitions, depend. As Business Admin Support, you will provide independent professional and administrative support to a rapidly growing and fast paced team, present at multiple locations.
What’s the role?
In this role, you will be instrumental in enabling the NBS Team to deliver its goal through your expertise in business support, compliance management and administrative matters. You will support a team of deep technical experts, who will be majorly located at Shell Technology Centre Bangalore (India), Shell Technology Centre Houston (USA) and Shell Technology Centre Amsterdam (NL). You will be reporting to the Team Lead- Nature Based Solutions (NBS), based in India.
Other key responsibilities are:
Supporting the on-boarding of new team members and maintenance of on-boarding pack. Support for any future job postings.
Coaching of new team members on the Shell’s business processes e.g., SERP, Workday, ABC, Concur, Sphera (HSSE), My Tools and Resources, PTX BMS, etc. This also includes providing 1st line support on these processes to the team member.
Supporting the Team Lead- NBS in ensuring the compliance to various Shell requirements and processes, includes driving actions, follow-up with team members and maintaining database on the same.
Low value and low risk procurements and supporting the team on contracting processes.
Management of Team’s Dashboard and including driving data collection, analysis, and reporting, etc.
Supporting the team in various knowledge management activities.
Supporting the team in preparing business documents using Shell templates, distribute technical reports, record keeping, maintain SharePoint/ other data repository for the team.
Management of on- and off-site workshops/conferences, meetings, events including negotiating with third parties, full administrative responsibility before, during and after the event.
Providing general administrative support where applicable e.g., complex travel/visa, translations, large scanning, printing, binding, etc.
Additional activities which are location or theme specific e.g., HSE administration and Quality System administration.
Any other activity in discussion with the Team Lead- NBS.
What we need from you?
College Graduate with 5 to 10 years of relevant work experience.
Deep understanding of Shell’s requirements, businesses processes and controls and various compliances. Having understanding of PTX BMS will be an added advantage.
Skills to be highly organized and a self-starter, capable of working independently with minimal supervision.
High degree of flexibility, customer focus with the confidence to coach and guide technical staff on Shell requirements and processes.
Demonstrated ability to analyze various situations and executing fit for purpose solutions.
Excellent communication skills, resilience, and personal effectiveness.
Proficient with standard office software; including Excel, Word, PowerPoint, Outlook.
Role requires some level of flexibility wrt availability beyond regular office hours, to engage with the team members in different time zones.
Deep expertise in business and administrative support.
Excellent people skills necessary for nurturing collaborative relations with the team members and other Shell stakeholder
