Roles & Responsibilities-
Planning and coordination of complex domestic and international travel itineraries • Timely and accurate reconciliation of expenses.Organize booking of conference calls, rooms, taxis, couriers, hotels, etc. for senior managers and manage travel issues when required.Plans and executes events as needed for the organization.Prepare, consolidate, and coordinate weekly reports for your teams.Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.Develop time management best practices to help managers meet business objectives.Work in partnership with all Business Administrators based in India and Globally. • Coordination and logistical support for onsite and offsite meetings/events including All Hands, Morale Events, Team Training and Leadership Offsites.Assist with headcount management, org chart maintenance and distribution and security group ownership and management.Team support includes space management, office moves, new hire set up, onboarding, and procurement of equipment and supplies.Experience working with a global team and cultural awareness.Proven professional approach to dealing with highly sensitive and confidential information.Ensure compliance with administrative operations policies and procedures.Pro-actively participate as a member of the Admin Leadership Team, including any special projects as requested by the Lead Admin.Other administrative tasks as required.

Any college degree or MBAKnowledge of office management systems and procedures; including Microsoft Office suite.Excellent time management skills and ability to multi-task and prioritize work. • Attention to detail and problem-solving skills.Excellent written and verbal communication skills.Strong organizational and planning skills. Who We Are Looking For:Effective Communication o Ability to give and receive any information, plan, or concept with clarity for the intended purpose, and essential for a successful business.Travel Management o Attention to detail and critical thinking play major roles in travel management, which includes all logistics such as booking tickets, airport transfers, accommodation, travel documents such as visas, valid passports etc. in coordination with the concerned Department – Travel or Administration.Cross-functional Coordination o Seamless Coordination with internal and external stakeholders.Management Skills o Manage the offices with diplomacy and tact, maintain confidentiality, mentoring and decision-making to ensure smooth and efficient functioning of the business.Reports Management o Manage information flow seamlessly such that all deadlines are met.People Skills o The ability to form connections with people at a humane level to achieve productivity. Be an inspiration, positive and approachable, a good listener, and a go-getter. Work with and connect with the team members of specific leaders as required.Learning & Adaptability o Willing to take on new challenges and adjust to changes, keen on upskilling and continuous learning to achieve objectives.Meetings Management o Manage meetings effectively and if applicable, take notes, set-up follow up meetings and track actionsTime & Calendar Management o The ability to prioritize, plan and organize time efficiently is critical to the productivity and smooth functioning of the business and specifically the leaders. The same goes for calendar management. • Email Management o Set up a system in place to organize – prioritize and categorize the emails in a collaborative manner.
