This profile contributes to the organization by establishing, developing and implementing systems for proper coordination between the Company and the production teams. You are expected to effortlessly coordinate for all the on ground execution of production activities and look into the administration on a daily basis. Also the profile plays a very important role to shortlist and analyze all the new association opportunities by maintaining effective lesioning with people in the entertainment industry.What does this role entail?Schedules and Documents: Ensure timely and regular calendaring of meetings with client leadership, advocates, partners, prospects and media and Ensure professional and respectful handling of all communications with them.Efficiently manage the time schedule of the management for meetings including internal, based on prioritiesMinute / Document the meetings, track and drive completion of key deliverable.Put together PPTs & key information as and when required.Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.Plan and orchestrate work to ensure the priorities are met, organizational goals are achieved, and best practices are upheld.Coordination, proof reading and execution of all sorts of documents like Legal, and administrative etc.Vendor Management, Negotiations and processing of the related documents.Business data analysisOffice Operations, Administration, Hr and General ManagementData management of the scripts /projects / business inquiriesLiaise with writers, directors, etc. for the needed communication as well as for new projectsKeeping track of all the PR material and ensure the accuracy of the date & the informationKeep updated with the business news, information and opportunities.Keeping track records for workflow of the project during the production.Keeping track records for finance and payments to parties during the production of the project.Assuring accounting of all the transactions in coordination with the accountantCreating structures and mandates for establishing a standardize work flow systems.Ensuring all sufficient backups of the content data for company’s data bank.Reviews and SupportManage the mailbox and ensure all the mails are replied to and actioned wherever requiredEnsure the management is briefed well for all the meetings, in terms of information, documents, updates from the past conversations etc.Maintain reporting system for all the associated team members on company level as well as project based and share the summary MIS for respective area of work on monthly basisEnsure to schedule the reviews for which management is responsible and ensure to drive closure of any open items in the reviewWho are you?You will be an organised individual, very patient and a good listener with excellent communication and coordination skills. You will open to new learning and will be prepared to work in a stressed environment.
