Role Description/Position Summary
Manage and supervise Administration & Facilities activities for Bangalore, Hyderabad & Chennai facilities
Responsibilities
Drive and own administration functions of the company like Office management, travel, transport, Hotel, Guest house, Cafeteria F&B, Visa, Security, Housekeeping, utility services, etc.
Evaluate and execute the Infrastructural /Retrofit projects including Design reviews and validating the BOQ as pe the construction/interior project management process.
Evaluation of Project estimation, technical evaluation, scheduling, and adhering to the project deadlines.
Coordinating with Real estate brokers, Landlords for new facilities, Lease renewals
Prepare SOW for MEP and associated works, inspect, and sign off on completion as per contract.
Developing, Planning, and management of maintenance activities of utility equipment.
Responsible for the Capital & Expense budget. Submitting information for budget preparation, scheduling expenditures, monitoring costs, and analyzing variances.
To initiate and manage the contracts related to the Administration, Facilities & Project functions.
Inventory management of all consumables & analysis the consumption patterns.
Ensure to adhere to Local and Global EHS practices all the time.
Identify and develop strong vendor relationships that are reliable and cost-effective.
Own and drive Event management and VIP visits.
Oversee lease Agreements, Service contracts, and Statutory compliance requirements of the facilities and ensure to align with local government regulations.
Coordinating with Business Units for Audit requirements like ISO / ISMS / GMP.
Analyze technical data, Drawings like SLD’s Operational manuals and customize SOW and publish with respective business groups.
Conduct due diligence, Risk Assessment of Office space in line with statutory guidelines.
Build and maintain relationships with local government bodies as it relates to site and community issues.
Establish and deliver energy and waste strategies to meet Business needs of cost and sustainability.
Preparation of MMRs and MIS reports as per the client requirements and attending the monthly reviews, KPI meetings, and vendor assessments reviews.
Minimum Educational & Experience
Graduate . A Post Graduate degree in Business administration or real estate administration shall be an added advantage
Professional with 15 plus Years of experience in Administration, Facilities & Real Estate Management services including Engineering maintenance operations.
Skills & Knowledge Requirement:
Good written and verbal communication skills.
Strong interpersonal, Statistical Analyzing skills and communication with all levels of employees including Leadership.
Excellent computer skills and proficiency in preparing documents and presentations.
A self-starter leader and reliable deliverer, with very good verbal and written skills in English,
Sound understanding of business/process workflow and having the mature mindset to deal with and behave under tough/challenging situations.
Proven leadership capability with a track record of leading/contributing to cross-functional teams in an operational or technical environment.
Well-versed in Real estate operations including Lease contract negotiations, CAPEX & OPEX, and new site transition execution.
Lead multiple operational teams. Development and alignment of individual goals provide feedback and develop talent for the Facility staff.
Excellent organizational skills with the ability to deliver to set deadlines
Hands-on experience in handling a wide range of Engineering services & Infrastructural projects.
Hands-on experience on managing utility services for Electromechanical / Biological Labs and warehouse space.
Proven experience in developing ideas and implementing change and new initiatives.
Frequent travel between the territories and Head office is a possibility and the applicant should not have any limitations regarding the same.
Relocation ability anywhere within India, at any time during the employment is a must.
