Full Job Description
1. Directly responsible for keeping a track of STORES bill, and Payments.2. Checking bills from stores item vise ensuring no deviation in bills comparing to CS (Comparison statement) and approved rates.3. Checking, updating, maintaining Vendor’s Bank Details –holding their correct/changed current account numbers their payment terms, NEFT codes, bank branch details, etc.4. Invoice scrutiny- checking invoice with item vise and approved rate vise proper entries, GST information of the party and the terms of payment/ advances being posted if any.5. Coordinating for two kinds of payment- Advance Bill/Challan & final bill payments as well.6. Coordinate with Mr. Franklin/Bank team for timely payment follow up.7. Issuing advance advice to purchase and documenting/punching it in SAP.8. Analyzing necessity, viability and yield of Advance Checking ledgers, statements records to ensure previous experiences after advance updating to seniors accordingly leading to aiding/relating it to current decision.9. Coordinating with Purchase department seniors, Division-vise SAP operators in Purchase/Procurement for any discrepancies, Order copy, Rate, PO, CS (rate quote submission and review from 3 different parties, etc) or any coordination as directed by the seniors or is deemed necessary.10. Payment follow up and processing from internal department.11. Reconciliation work-ledger checking, ascertaining receipts or payment pendencies and follow up, keeping a track.12. DEBIT /CREDIT Note-Maintaining, submitting Monthly report on gross receivables or liabilities from vendors and documenting the reasons on erroneous/ resulted debit/credits, updating the same timely to the seniors/management.13. Officiating responsibility in the absence of team members – (Cheque making), or as & when instructed by seniors.14.
