Job Description
The successful candidate must be a multi-tasker with excellent communication skills, both oral and written.
The role is confidential and the person must be able to exercise judgement in meetings, correspondence
Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
Manage office supplies inventory and place orders as necessary.
Office administration (e.g. report on printer issue, monitor office locker, seating arrangement, support team members when they are on duty at the office etc.)
Provide general support to visitors, new hires onboarding.
Attend Stakeholder meetings, producing minutes and follow up actions.
Proof read stakeholder communications and documentation for quality, accuracy and relevance.
Show high levels of communication and regularly contract with your stakeholders to understand their business priorities and needs.
Support stakeholders with meeting preparation including forward planning prep sessions, ownership of agendas and presentations.
Take ownership of all enquiries and problems, resolving or escalating issues as appropriate.
Utilise sound knowledge of stakeholders clients and teams to optimise stakeholder time management and priorities.
Proactive research, organisation and delegation of global travel logistics including coordinating itineraries, security and risk mitigation.
Apply expense policy guidelines to ensure all claims and invoices are compliant before final sign off and processing.
End to end organisation and management of a wide range of events; both internally and externally
Role model inclusivity by demonstrating a sound knowledge of cultural differences, global mindset and inclusion and diversity.
Upwardly manage your stakeholders to ensure they also comply with Vialto Partners policies and procedures and meet Vialto Partners deadlines.
Use Google Suite to maximise efficiencies and collaborate effectively, continually upskilling on enhancements and sharing knowledge with stakeholders and teams.
Continual self development on technology
Apply understanding of regulatory requirements and data management, ensuring compliance deadlines are met.
Coach stakeholders and others to improve ways of working by utilising technology.
Provide a greater level of support to your stakeholders by using internal platforms to gain a better understanding of Vialto Partners.
Build a network of relationships and collaborate with colleagues beyond immediate circle through various initiatives
Proactive engagement and participation on social media for relevant campaigns and managing industry / market focus
Qualifications
Requirements
Primary degree and relevant qualifications.
3 – 5 years experience as an Executive Assistant in a similar industry or a reputed firm.
Additional Information
Work location will be Bangalore
Strong organizational, project management and multi-tasking skills.
Fluent English language skills essential
Experience exercising discretion and confidentiality with sensitive company information
Exceptional management, administration, organisational, scheduling, time and delivery/implementation skills
