Job summary
AWS People Experience and Technology (PXT) is seeking a self-driven, highly organized, and proactive Executive Assistant to support three HR Directors across India and Singapore. In this role you will be joining a diverse and supportive EA community providing you a unique opportunity to develop your administrative skills and experience and to help other EAs do the same. This is a fun and rewarding opportunity in an international organization.
This role requires superior attention to details, great organization and project management skills, and the ability to work independently on assignments with sound judgment. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals are essential. A proven track-record in working across multiple time-zones at scale is a necessary trait.
The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance. It will be necessary to react with appropriate urgency to situations that require a quick turnaround, be able to take effective action without having the full picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.
Key job responsibilities
Key responsibilities include but are not limited to:
Management of calendar and scheduling requirements for multiple executivesManagement of team space, including new hire allocation, team moves and reconfigurations;Coordination and planning of domestic and international travelCompleting expense reports, purchase orders, and managing corporate card purchases; participation in budget planning and tracking as neededTracking and helping to drive completion of key deliverables, following up on outstanding itemsActing as a liaison for direct reports of the executivesPlanning and coordinating team activities and eventsManaging other core administrative activities (new-hire onboarding, organizational charts, supply ordering)Bachelor’s degree preferred5 + years of experience assisting at the executive levelStrong ability to operate in a fast-paced / Global environment and deal with ambiguity.Excellent communication (written and verbal) and interpersonal skillsAbility to complete a high volume of tasks with minimal direction
