Purpose of the role:
The Admin/ Team Assistant is responsible for providing office management and administrative support to the GCS team in Bangalore. This role will interface with other office management teams across the American Express organization.
The Admin/ Team Assistant must be an independent thinker, driven, reliable, and highly organized individual who can work closely with others.
Responsibilities:
Procurement and maintenance of Stationery for the team
Arranging Team building and team events
Arranging Team meetings arrangements
Arrange CSR events
Arrange Healthy Living for the team
Coordinate with other EAs/TAs as necessary for any location specific activities (Bangalore or India)
Scheduling meetings/appointments
Manage travel itineraries for executives
Uphold a strict confidentiality
Manage office asset inventory and maintain the inventory list up to date
Maintain colleagues, contractors and interns’ records and reports
Making sure all complete their mandatory trainings
Managing calendar for executives
Make travel arrangements for executives
SPOC for any real-estate related stuff for GCST in Bangalore
Take minutes during meetings
Format information for internal and external communication – memos, emails, presentations, reports for GCST.
Skills & Qualification
Experience as an Admin/ Executive Assistant reporting directly to senior management is preferred.
Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
Proficiency in collaboration and delegation of duties
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
Exceptional interpersonal skills
Friendly and professional demean.
