General purpose of the roleThis position covers two roles: the Front Desk Representative (80%) and the facilities assistant (20%). This person has a full understanding of how the centre works, has the ability to politely welcome and direct anybody who arrives at the gate (guests, volunteers, workers, deliveries), keeps tracks of deliveries, alerts the relevant area and has a complete overview of the facilities ongoing maintenance needs and works.As the ‘face’ of the organization, the successful candidate should be polite and friendly, with outstanding people handling skills and multi-tasking ability.Key area of responsibilityFRONT DESK REPRESENTATIVE (5.5h)Welcome1. Welcome all visitors with a smiling face and polite behaviour. Should be able to demonstrate our mission and values while welcoming people.2. Understand the purpose of the visit and guide them to the right person and ensure they are not left unattended according to the protocol. Our visitors mostly include volunteers (local and international) and people bringing an injured animal or visiting an animal that is hospitalized.3. Ensure safety of people and animals when brought for treatment.Deliveries4. Ensure that the hired agency for different works like garbage collection, hazardous/biomedical waste and dead body collection are following their schedule and coming on time. For any missing or delay immediately inform to the management.5. Check all deliveries that is coming to the hospital and report to the relevant department as needed.Area management6. Manage and monitor the entrance area, i.e. helping and directing the ambulances and other vehicles, ensure materials are stored in the right place, ensuring the area remains clean.7. Records ambulances in and out time.8. Make sure anybody apart from the full time employees of Animal Aid are doing their In and Out entries in the appropriate register.Security9. Deal with unwelcomed/unauthorized/unsavoury visitors, ensuring they are not allowed in the premises and are not creating any trouble. Follow the emergency action plan when needed.10. Monitor and prevent movement of prohibited items into and out of property (check stealing.)Other11. When not coordinating visitors do occasional tasks as needed.FACILITIES (1.5h)1. Under the guidance of the facilities manager, monitor the ongoing works/repairing.2. Directly perform minor repairs/improvements3. Search and contact workers/professionals as needed.Education, experience and skills1. Minimum 12th pass or graduate.2. A minimum 5 years of working experience. Some similar experience is an add-on.3. Must be able to read and write in Hindi/English. Must be able to convey the message in English.4. Any experience with animals (volunteers, neighbourhood animals, etc) is a plus.Personal attributes1.
