Manage information flow in a timely and accurate manner and be prompt at responding to urgent requests.
Receive and answer all incoming calls/mails/papers reporting complaints or work requests.
Maintain the confidentiality and security of all data and information relating to the facility.
Shall keep vigil over the visitors and Employees and ensure that all follow the proper procedure for entry/access
Must report any untold / abnormal incidence, suspected movements of any person etc. to the Manager immediately.
Taking rounds inside the office, checking the equipment’s and informing the respective person on issues / concerns.
Space allotment for new employees.
Maintain and update employee register from time to time with additions and deletions of new/exited employees.
Supervise the Admin team – Pantry, Company Drivers on work done with weekly briefing, track and approve attendance, OT etc. and share with manager for payment purpose
Supervise the inward and outward couriers, stationery request from staff and assist in checking materials received and submitting the invoices to head office
Registration of new employees in the access control System and ensure correct input of attendance when required.
Opening and Closing of office.
Ensure Proper Safety, Security of company assets
Handling facilities as per SOPs
Provide administrative support for operations team
Able to complete complex administrative tasks with minimal supervision
Ensuring cleanliness and maintaining a Hygienic atmosphere within the facility.
Full comprehension of office management systems and procedures
Ability to multitask and prioritize daily workload
Manage IT assets and coordinate with IT team on basic troubleshooting.
Coordinate with head office admin team for all travel arrangements and office supplies
Requirements:
Any Graduate with 4-5 years of relevant work experience.Professional level of verbal and written communications skills.Highly Skilled in Word, PowerPoint and Excel is essential.Excellent organizational and time-management skills.Strong written and oral communication skills.Highly skilled and passionate with strong work ethics and attention to detail to serve as a liaison between local office and head office.Basic IT troubleshooting.
