JOB DESCRIPTION TITLE: Assistant Club Manager

REPORTING TO: Club Manager (CM) GENERAL
SUMMARY: As a UFC Gym brand ambassador, the Assistant Club Manager (ACM) represents UFC Gym and ensures Guest Relationship Executives (GRE) provide a welcoming, informative, differentiated, high energy, and incredible experience for all prospective members during gym visits. This position indirectly supervises the GRE team with support from the CM. Assistant Club Managers are held accountable for assisting the CM in achieving gym membership goals, private coaching attachment, and other sales goals. Assistant Club Manager are directly responsible for ensuring implementation of policies, guidelines and system set by the company. ESSENTIAL DUTIES & RESPONSIBILITIES:
The ACM is responsible for performing and/or assisting GM in the following activities for the gym: Personal Coaching Department, Daily, Weekly and Monthly Management Review, Club Staffing, Training & Development, and Performance Review & Management, train and manage a fully engaged and high performing team that aligns with company values and goals. ACM is responsible for smooth functioning of the facilities at the club to ensure uniform and delightful customer experience.
1. Sales Management:
Ensuring the club achieves the daily, monthly, quarterly and annual budgeted revenue across all revenue heads i.e. New Membership, Renewal Membership, Personal Coaching, and Merchandise Sale. Ensure membership enrolment on lead, appointment setting, and guest goal in order to hit financial targets set forth by the company. Assist the CM in achieving 50% of walk-in guest conversion, 20% of telephonic enquiry conversion and 20% members conversion to personal coaching. Inspire guests to purchase memberships. Turn every guest gym visit into a new membership by listening to guests’ goals, presenting UFC Gym in a way that best connects with the member, and establishing trust in UFC Gym through transparent pricing, open dialogue, and a passion for fitness. Daily monitoring of lead generation, appointment setting, and hitting personal guest enrolment goal in order to hit revenue targets set forth by the company. Ensure that the membership department hits monthly targets in New Member Sales, Renewal Membership Sales, Personal Coaching Sales and Merchandise sales. Drive referral through existing members to achieve 50% of new membership sales through referrals. Engage with existing personal coaching clients to understand their fitness goals and coach performance as per goal set to ensure 75% renewal of personal coaching. Preparing and sending daily/weekly/monthly MIS to the CM, GM Functional Head and BOD. Assist the CM and Marketing team in creating a local area marketing plan to drive new footfall in the gym. Collate and share report on marketing plans executed on monthly basis to evaluate the effective of each marketing activity for better future planning and execution.
2. Operations Management:
Members orientation on the date of joining on the club rules and policies. Employee orientation on the date of joining the organisation. Handing over boxing gloves, hand wraps or any other items as part of membership offering to the member and take sign off in the software. Allocating the member to the personal coach for two days personal coaching sessions and fitness orientation. Implementation of rules, policies, systems, operating procedures and guidelines set up by the organisation. Ensuring smooth functioning of all the equipment and fixing and repairing the equipment within the stipulated time. Managing and coordinating with all the third part service providers. Managing all repairs and maintenance activities within the stipulated time. When not executing other job-related tasks, be present on the gym floor and locker rooms, helping ensure a clean and safe environment, while developing relationships for prospecting. Ensure company policies, procedures, programs and promotions are efficiently executed. As a contributing team member, assist the front desk as necessary so members receive a friendly greeting/check-in and prompt attention to their needs.
3. Management & Planning:
Participate and provide gym specific input into the development of the gym financial, expense, software, MIS, manuals and operating plan for month to the CM and the BOD. Assist GM to develop weekly membership enrolment plans to deliver financial and retention goals with contribution by GRE’s. In collaboration of CM and GRE’s, establish priorities and goals, including revenue goals and membership and personal training targets for day/week/month for the club. Identify and plan execution of improvement in the gym based on customer and team feedback. Work with team members across all departments to set priorities and goals to deliver a great member and guest experience. Along with the GM, assist in setting monthly, weekly and daily targets that are challenging but obtainable. Provide assistance to the GM on creating and managing monthly Class schedule within budgeted hours and/or business demands.
4. Guest Experience / Team Member Experience Assist GM to establish a fun, safe, healthy, and community focused gym culture that delivers high member satisfaction and achieves maximum profitability with the support of department heads and supervisors. AGM takes 100 % ownership on the days when CM is on leave. Ensures safety of employees, members and gym property. Monitor gym appearance and ensure problems are resolved in a timely manner. Handling members feedback and complaint. Take corrective action and file a member’s feedback/incident report report.
5. Staffing and Development Assist in GRE selection by reviewing applications, interviewing and making hiring recommendations to the CM. Assist with training the GRE team to generate leads/new business through member promotions, leads, referrals, appointments, shows, local events, outside marketing, and guest passes. AGM will be cross-trained in primary responsibilities of the CM when the CM is not in the club, the DGM will act as the “Manager on Duty” to be available for any and all member issues. Resolve elevated gym member concerns; conduct on-the-spot coaching to prevent them from reoccurring. If needed, work with CM to handle all concerns. Ensure compliance with the Company’s Time & Labour policy and practices through company timekeeping system for all the staff. Assist in training the Team on current marketing campaigns in order to effectively communicate to members and prospective members.
