Job Description:
Responsible for all Administration related functions and Maintenance of large sized facilities.
Gathering and disseminating information concerning facilities and related issues
Prepare, monitor and control Admin Budget
Recommends, coordinates, and/or directs the appropriate utilization of space, support during BCP
Ensure and monitor all facility compliances with all applicable codes and laws
Monitors and inspects buildings / premises ensuring Safety and security of people and assets
Develops and maintains relationships with landlords, government agencies, and business partners
Proactively communicates with local management and develops solutions that align with the business needs
Prepares regular strategic and operational reports on the portfolio
O&M management
Performance management of M& E functions of IFM services. Planned maintenance of all physical facility
R&M and replacement/refresh of office equipment’s, appliances furniture & fixture and building
Lead and participate vendor meetings at an operational level
Transition of new facilities – Coordinate and ensure transition of new facilities as when required
Optimize costs through process improvements, develop alternative sources of vendors.
Knowledge about STPI COMPLIANCE is mandatory and knowledge over SEZ operations is an added advantage
Coordinate with FM team on Physical security horizontal – implement and monitor security practices
Undertake physical safety of assets in the facilityConduct mock drills. Lead emergency evacuation. Responsible for the safety of all occupants during crisisIdentifies and communicates / escalates risks at the facility
F&B management at facility
Transport and cab management at facility
Drive vendor partner in delivery of services
Periodic review of facility operations
Conduct Admin survey based on which corrective actions are identified and implemented
Review / approve admin invoices
Day to day operations, inter facility correspondences, emails, vendor interactions etc
Liaison and coordinate with other support functions
Coaching and mentoring team members
Participate in FM industry conferences, training programmes and meeting
Performs any other tasks assigned from time to time
