You will contribute to the TLF-India office by streamlining office administration and Front Desk activities and making the office a better place to work for our colleagues. You are an individual contributor collaborating along with the staff members to make sure the day-to-day operations execute smoothly at the office.
Your profile
Office Management
Positively attending the office reception activities like meet and greet visitors, attending phone calls and processing the required action/redirecting to the concerned person.
Supervise administrative office staff (Peons) and divide responsibilities to ensure performance.
Ensure optimal daily hygiene of the office premises and work area.
Manage service and maintenance regarding office repairs.
Vendor management
Ensure the office supplies are available in enough amounts needed for day-to-day consumption.
Manage agendas/travel/appointment arrangements for TLF colleagues including Flight Booking, Hotel Booking, VISA process, Travel Insurance and Card, and travel documents.
Alignment with CA for Vendor Payments.
Employee management
Manage leaves based on employee requests and communicate to TLF-all.
Manage yearly holiday calendar and attendance management
Involved in arranging employee engagement activities with the Socio-cultural committee.
Arrange office celebrations for dedicated events and festivals.
Arrange half-day events across the year as well as annual trips.
Manage employee gifts and voucher arrangements.
Responsible for managing Mediclaim for our employees – creation of accounts, modification of employee/family details, alerting on the occasion of an emergency, etc.
Responsible for Sodexo management – informing new members of Sodexo benefits, account creation, and addressing issues/queries.
Arrange lunch for new employees’ first day and visiting employees from NL/UK/US.
PMO
Ensure all timesheets are entered completely by regular follow-ups.
Assist with approved timesheet modifications or week closure in TLFMIS.
Prepare and share specific customer reports on weekly basis.
Generate and process monthly invoice approval.
Process hour-approval for assigned projects.
HR
Assign unassigned messages in Personio, perform initial screening calls, and plan for the interview rounds.
Conduct the joining formalities for new employees.
TLF specific
Participate in weekly and annual management meetings.
Work with the Office Management to improve the overall office atmosphere.
Strive to make TLF a great place to work while achieving organizational targets.

EDUCATION REQUIREMENT: Any diploma or Graduation.
