Job Description
KEY RESPONSIBILITIES
General office administration (Stationery, supplies, cleaning, space planning, seat allocations for new employees and visitors, incoming/outgoing courier management, maintenance & repairs, access cards etc.)Establish and maintain relationships with internal team (HR, Finance, IT and Facilities team, etc.) and vendor management (e.g. landlord, suppliers, renovation company, property management company, banks, auditors, IT vendors, travel agents and hotel representatives, etc.)Ensure that the office complies with local regulatory requirements (include building code, fire safety code etc.) and maintain the office in clean, hygiene and safe conditionDrive discussions around local benefits (e.g. renewal of medical plan, etc.)Support HR activities such as onboarding and offboarding arrangements, recruiting efforts (e.g. Associate and Admin recruiting), local training, statutory filings (e.g. POSH, etc.)Oversee and manage EA allocationMain point of contact for HR projects and initiatives (e.g. leave tracking, DEI activities and events, etc.)Coordinate:
1. internal and external meetings
2. registration for all conferences, field trips and group meetings
3. payroll process and stamping for employer tax reporting
4. local contract negotiation, signing and renewals
5. petty cash and corporate credit card operations in accordance with the policy
6. with EA on finance related matters (e.g. airfare refunds, quarterly finance townhall & storage of T&E physical receipts)
First reviewer of Mumbai office T&Es in accordance with global corporate policy and regional finance guidanceCollate day-to-day corporate invoices for FinanceCollate deal costs invoices from and provide payment status to private equity deal teamSupport some business activities (e.g. deal pipeline management, standing meetings with key advisory firms etc.)Other ad-hoc tasks (e.g. CSR coordination, board sitting fees collation and Diwali bonus, etc.)Participate in IT vendor reviews/selection to help us drive performance and ensure fit for purpose servicesCoordinate with IT on upcoming onboardings and equipment needsCoordinate courier services together with IT
The Successful Applicant
GENERAL QUALIFICATIONS
Minimum 8 years of relevant experienceProficient in all aspects of Microsoft Office (especially Excel and PowerPoint and Outlook)Extremely organized and detail orientatedDedicated and loyalWilling to go the extra mileCooperative team spiritProactive, ability to take initiativeEffective communication skills
