Duties
As the key LE Staff Administrative Assistant in the CLO office, the incumbent assists the American CLO coordinator in serving approximately 224 USG employees and family members in Hyderabad. Assists in developing, implementing and planning a program based on community demographics and post-specific needs. Development and implementation of the program has direct impact on post morale and effects overall work performance, productivity, retention, community spirit, and individual and family well-being in a foreign environment. The incumbent answers the main CLO office phone line and emails box and answers initial inquiries made to the office to answer questions and determines if inquires should be raise to the CLO’s attention. Incumbent assists with providing arrival, orientation and departure information to all American officers and families at Post; assists with the review, creation and management of social events and programs to include constantly maintaining, updating and improving relevant documents and resources. Performs general office duties related to the successful running of the CLO office and other administrative duties as assigned. Assists in preparing CLO procurement wish list items, drafts memos, reports etc., provides translation and interpreting services as needed. The incumbent is responsible for coordinating with the Consulate IM office to update the CLO online information such as share point, a newsletter and website, to include updating and proofreading the documents. Assists in organizing shopping fairs, cultural programs and sight-seeing in and around Hyderabad for USG employees and their families. Incumbent is also responsible for supporting the same for VIP delegations. Improves the efficiency of the CLO and provides a full-time service of the best quality to the community. As a back-up for the CLO coordinator, incumbent is required to exercise exceptional judgment and discretion. Besides the above prime functions, incumbent is also responsible for supporting coordination with other organizations, such the international schools, NGOs and so on. The incumbent will also regularly assist in providing services and support to TDYers, Contractors, LE Staff and the greater community at post.
Qualifications and Evaluations
Requirements:
EXPERIENCE: Two years of experience as an Office Administrator Assistant or related field dealing with the public in customer services, tourism, public relations, event planning, sales or office management is required.
JOB KNOWLEDGE: A good working knowledge of administrative office procedures, data processing methods, design software to update CLO online presence, and MS office applications. Requires an in-depth knowledge of Hyderabad, Indian history, attractions and its tourism industry. Good public relations and personal communication skills. Experience in desktop publishing is helpful. Knowledge is handling cash and bookkeeping. An active and wide knowledge about a variety of areas of life in India and its culture is essential for the incumbent to be effective in assisting client.
Education Requirements:
Completion of secondary school.
Evaluations:
LANGUAGE: English: Level 4 – Fluent: Speaking/Reading/Writing, may include the ability to translate. This may be tested.
Telugu/Hindi: Level 3 – Good working knowledge: Speaking, Reading & Writing. This may be tested.
SKILLS AND ABILITIES: Must have the ability to: work autonomously, maintain confidentiality, manage information efficiently, including use of computers, maintain financial records, make people feel comfortable in unfamiliar surroundings, draft letters, memos.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.
