JOB SUMMARY:We are seeking high-performing administrative personnel to oversee daily support operations at our factory and design the most efficient administrative procedures. The goal is to ensure all support activities are conducted efficiently and effectively, enabling other operations to function seamlessly.
KEY RESPONSIBILITIESAdministrative ManagementPlan and coordinate administrative procedures and systems and streamline processes for efficiency.Recruit and train personnel and allocate responsibilities to the team, allocate office space for personnelAssess staff performance and provide coaching and guidance to ensure maximum efficiency.Ensure the smooth and adequate flow of information within the company to support other business operations.Manage schedules and deadlines.Monitor inventory of office supplies and new purchases with attention to budgetary constraints. (Eg: Stationary, ID cards, Uniforms, etc.)Travel and hotel bookings for guest and visitorsGuest house managementPantry/ Cafeteria management (Cooks. kitchen, grocery stock)Handle third party supervisors of labour contractor, Housekeeping, security services.Handle the insurance portfolio, including employee communications, benefits maintenance, management reports, workers’ compensation claims, and accident investigations.Complete initial reporting, accident investigations, communication work restrictions, claim adjuster correspondence, tracking and claim review analysis for settlementsMaintain monthly admin-related MIS, files, records as scheduled. Scrutinize and approve the utility bills and other admin expenses.
Facilities and services managementOversee facilities services, repairs and maintenance activities and tradespersons (e.g electricians, plumbers), AMC’s renewals.Vendor management includes development of new vendor, payment and reconciliation of bills.Organize and supervise other office activities (recycling, renovations, event planning etc.)Manage hazardous waste disposal, annual health checkups, uniforms, PPE, new joiner induction kits, mobile SIM cards, and first aid boxes.Participate in CSR activities and manage internal and external surveillance audits.Arranging and managing client visits, sales meets, business meets held at the factory
Human Resources Support:Support HR-related projects and initiatives throughout the year,Organize employee welfare activities such as picnics, festival celebrations, and annual events.Handle grievance proceduresLiasoning with government and local authorities like gram panchayat, police station, tehsildar, and maintain all the legal registers
REQUIRED SKILLS, QUALIFICATION AND EXPERIENCE:Skills:Excellent verbal and written communication and organizational skills.In-depth understanding of office management procedures and departmental/legal policies.Familiarity with financial and facilities management principles.Meticulous attention to detail, quality, and follow-through.Analytical mind with strong problem-solving skills.Excellent organizational and multitasking abilities.Confident team player with leadership skills.Strong interpersonal skills and presentation skills
Qualification and Experience:Any graduate or bachelor’s degree in Labour Relations, Business Management, or Human Resources.A minimum of 10-15 years of experience working in a factory environment.Proficiency in MS Office suite.
Salary would be in line with the experience
