Designation: Executive Assistant (1pm to 9 pm)Work Location – Housed in Mumbai and some travel to USA/Australia (3-6 weeks)Reporting: DirectorAbout Veer DiamondsVEER is a diamond jewelry manufacturing company based in New York with roots in Mumbai India. The above allows VEER to service their retail partners with ease, quality, consistency and positions both for scalability. Core of VEER’s revenue comes from supporting and servicing our retail partners. VEER is strong in core Natural Diamond Basics and provides complete solutions to retailers across USA, Australia and Canada.Roles & ResponsibilitiesWork directly with the Director to support all aspects of his daily work routine.Maintain the Director’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Arranging Visit Visas, Travel Booking, Accommodation arrangement etc.Serve as a liaison between the Director and internal/external stakeholders. Maintain and refine internal processes that support senior executives companywide, and coordinate with internal and external stakeholders to expedite workflowsProvide coordination, monitoring, and communication of work/projects to various departmentsFostering collaboration with end-users|customers and key stakeholders.Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheldKeep the Director advised of time-sensitive and priority issues, ensuring appropriate follow-up.Delegate tasks to executives on behalf of the Director and maintaining delegation sheet.Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries and circulate with team members. Ensure follow up of the points discussed and completion.Build sustainable relationships and trust with all customers through open and interactive communicationTaking Customers feedback / complains and forwarding to the relevant department to take positive steps to enhance the company’s profitability.Coordinate with various departments such as Sales, Marketing, Logistics, HR, F & A and ensure smooth operations of work.Ensure coordination of all processes especially related to sales, inventory and dispatch.Vendor Management.
