THE TEAM
Workplace Resources is a highly trusted team, responsible for providing an incredible experience for our ZEOs. We create and support offices that look good, initiatives that feel good, and programs that do good for Zuora and our community. As a lean team of creative and innovative workplace champions, we work closely to understand the needs of our ever evolving workforce so we can continue to drive collaboration, promote learning, and nurture our ZEO culture across our offices. Having recently won our internal Z-Awesome awards for our new HQ build-out, there’s no shortage of energy and drive with this team!
YOUR MISSION:
As Regional Office Manager, you are essential to the operation of our friendly, customer-focused, and professional office in Chennai, remote oversight of a shared space in Bangalore, and possibly more offices as we seek to hire people in other parts of India.
Our Indian operations are currently home to over 300 ZEOs, with more growth planned.
You will set a high bar for our office environments in India, and perform a wide variety of tasks to ensure it runs smoothly, is organized, and that everyone has what they need to be successful in their roles. Additionally, you will team up with our Workplace team around the globe to come up with events and activities that are engaging and energizing to the organization.

There’s never been a more interesting and critical time for the Workplace Resources team at Zuora. As we prepare to re-enter our offices and envision the new working landscape, there are exciting opportunities to evolve our workspaces and create new opportunities for connection among our ZEOs . This is an opportunity to collaborate with an awesome team and work cross-functionally to keep our ZEOs energized and successful.
HOW YOU’LL CONTRIBUTE
Strategic support to our growth plans
Project-manage any office relocations (we currently planning to move our office location in Chennai)
Project-manage the opening of any satellite offices elsewhere in India
Work closely with our vendor selection and management, liaising with landlords, overseeing fit-outs, effective communication with employees with regard to the logistics around any move
Assists the Workplace team in evaluating space constraints and work environment needs.
Provide input to the Future of Work team as we continually assess our response to Covid and implement and review our hybrid working practices
Support employees and visitors
Greet and direct visitors in a professional, friendly, and hospitable manner
Listen to the needs of our ZEOs both through formal meetings and informal conversations
Oversee on-site employee attendance
Assist with employee desk moves and maintenance; keep record of employee seating
Play a key role in onboarding and offboarding of employees
Manage incoming requests and questions using a ticketing system
Enhance the energy and connection of employees
Help organize and/or support office events, both virtually and in-person
Work collaboratively within the rest of the Workplace Resources team and with cross-functional groups on engagement related projects
Develop new and impactful project ideas to enhance the experience of our ZEOs
Maintain safe, clean, and organized offices
Take pride in the appearance of the offices and make them friendly for our employees and guests
Ensure Covid-related safety measures are in place
Maintain adequately stocked kitchens and office supplies, restock paper and copy machine products, and general upkeep of office equipment
Manage weekly snack ordering and budgeting with our vendors
Order meals for the office when required
Source and manage vendors who will:
Ensure conference rooms are clean, functional and presentable
Manage shipping and receiving for the office and retrieve, sort and distribute incoming mail
Ensure office maintenance periodically to provide clean office space
Work with security agencies and ensure a safe working environment
Support transport requests for employees who are working in night shifts
Assist with facility improvement projects including furniture modifications and setups
Communicate with building management for any facilities needs
Respond to building emergencies and be a member of the emergency response team
Manage services with various vendors
Raises Purchase Requests in Coup (procurement management system) for all facility and admin related procurement
Verifies and certifies vendor invoices in terms of work done along with back-up data before submitting them to AP/Finance team for further processing
Provides monthly expense provisions and fund requirements for facilities and admin related spend
WHAT YOU’LL NEED TO BE SUCCESSFUL
Interpersonal skills, supported by excellent written and oral communications skills
Demonstrated ability to interact effectively with a wide variety of people and levels of management
Proven ability to be resourceful in solving problems
Extremely proactive with a strong willingness to get involved in discussions and projects
Can think creatively and out of the box
Ability to work independently and to define and solve problems, set priorities, and propose solutions effectively with minimal direction or guidance
Must be customer service oriented
Experience managing complex projects from start to finish
A positive, can do attitude with a willingness to try new things
Demonstrated ability to work and multi-task effectively in a fast-paced, dynamic office environment
Able to prioritize workload and work under pressure with a high level of proficiency and initiative
Knowledge of MS Office (Word, Excel, Chrome, Outlook) and G Suite Apps
Ability to learn new software programs; familiarity with Zoom (or other VC systems) preferred
Willingness to learn, be flexible, and play an essential role in an exciting and growing company
Travel (paid for by Zuora) to regional offices required 4 times/year
Some Zoom meetings will be required outside of standard office hours (8am-5pm) to accommodate different time zones
At least 5 years of related experience
