Tasks
Role Definition:
The Document Controller (DC) is responsible for maintaining and perform the professional and operational responsibilities of the functional unit assigned.
Shall take the requirements of the projects and the BMS as well as the state of the art into consideration and pursue achievement of the objectives assigned to the department.
Bears personnel responsibility for the day-to-day project functional activities and further personal development.
where applicable – to work or support personnel for the projects.
HSE Tasks
The Document controller is responsible for health, safety and environmental protection (HSE) in their work area. This concerns the staff, work equipment and work results in their area. For him/her HSE issues form a unit with their other tasks and are an integral part of all measures and activities.
The focus lies on proactive action. It is their responsibility to identify necessary measures and to check them for their effectiveness or to arrange and ensure same.
In clarifying responsibilities, the Document Controller assumes responsibility for the tasks in the sense of a transfer of duties to other person.
If the Document manager delegates HSE tasks to staff who report to him with temporary powers of control, he shall regularly assure himself that the delegated tasks are being performed properly.
Shall practice health, safety and environmental protection actively and acts as a role model in this regard. In the case of behavior contrary to good HSE practice he shall immediately bring notice of Document manager.
The Document Controller shall immediately inform their supervisor if circumstances contrary to good HSE practice cannot be eliminated within the scope of their powers.
Operational Tasks
The Document Controller shall ensure appropriate implementation of business processes in their sphere of responsibility. Also ensure an appropriate level of information security.
Understanding the Project Requirements and Contribute to Project Setup, System Setup & Preparation of Project Procedures and Work Instructions according to BMS.
Handling of Client Specifications in EDMS as per the instructions.
Contribution in Preparing Document Distribution Matrix and its update.
Assign Vendor Document Numbers
Document Quality Check as per project requirements and coordinate with concern parties for resolution.
Document Distribution and transmission to Internal & External parties.
Handling of Partner Documents.
Handling External Comments.
Handling of As-built Documentation
Supplier / Coordination:
Attending Kick-off meeting
Provide Training and send Invitations to Vendor for Document Exchange
Provide EDMS Access and track account requests (if Aconex as exchange platform)
Supplier / External party Documentation Handling:
VDRL handling – Quality check, upload finalized VDRL to EDMS, upload VDRL to OT and Manage on-going update.
Document Quality Check as per project requirements and coordinate with concern parties for resolution.
Process incoming documents and qualify to EDMS
Review Process Handling – Initiate Review Workflow and distribution.
Reports (generation & transmission to Internal & External)
Publish Supplier Document Status Report (SDSR)
Daily Documentation activity Report
Project specific reports
Final Documentation Handling
Preparation of TOC
Compilation of Final Documentation
Ensure Linking of documents in Final Documentation Folder
Check / Print Hard Copy as per project requirement
Generate transmittal for Hard Copy and dispatch
Archival
Regular Updates to Knowledge Management Databases (Lessons Learnt, Best practices, FAQs, Do’s and Don’ts)
Support project Document manager for all –relevant activities.
Minimum Requirements and Qualification:
Excellent command on English with good organizing and computer skills.
Any Graduate from a reputed college.
Worked in similar role of Document Management / Project Coordination role in an EPC/ Engineering Design company for minimum 5+ years.

The knowledge of PC based systems including spreadsheets and databases.
Training on job specific applications including OT, SAP and SmartPlant will be provided.
