Job Summary:

This job profile requires to address:

• Vendor queries regarding invoice processing,
• Understand the supplier portal with process flow and clarify the vendor queries on the application,
• It includes Vendor relationship management,
• Ensure vendor submission of invoice on time
• Ensure timely creation of Service Receipt Note (SRN) and Good Receipt Note (GRN)
• Coordinate with Central Verification team and Accounts payable and share the payment details to the vendor.
• Reconciliation of statement of account and balance confirmation with the service provider
• Pending invoice status update, tracker and dashboard to be submitted daily / weekly
• Monitor rejected invoice and ensure the rejected invoice are resubmitted as per the rejection remarks.

Follow up with Finance and share the payment details to the vendor

The job holder reports to the Associate Director – Purchase support team and is responsible for the end to end purchase activities which includes
Non – catalogue purchase
Works closely with Stakeholders and vendors providing exceptional customer service and delivering value to the bottom line

Essential Functions of the Job:

Responsibility includes:

• Vendor queries regarding invoice processing, (This includes invoice submissions, invoice rejection,
• payment related queries and application non-technical issues).
• Understand the supplier portal with process flow and clarify the vendor’s queries on the application,
• (At EYGDS we have supplier portal where the service provider uploads the invoice for processing, where this position requires

• It includes Vendor relationship management. (Connect with service provider on a quarterly or monthly basis, understand the
• Challenges at ground level and provide solutions and permanent resolution by making apt changes in the process taking approval)
• Ensure vendor submission of invoice on time
• Ensure timely creation of Service Receipt Note (SRN) and Good Receipt Note (GRN)
• Coordinate with Central Verification team and Accounts payable and share the payment details to the vendor.

• Invoice is not submitted by the service provide on time
• SRN / GRN creation delays.
• Invoice submitted will not be as per purchase order or as per invoice advisory.
• HSN / SAC code issues.
• Timely PO amendments

Decisions required to perform the job

• Timely update to the manager on the roadblock or post TAT period.
• Schedule meetings with the stake holders to resolve all challenges
• Prepare a schedule for feedback survey

Knowledge and Skills Requirements

• Good knowledge in end to end purchase activities across a broad array of categories
• Good communication skills
• Excellent coordination and management skills
• Independently taking logical decisions and escalations wherever required

Job qualifications
Education:

• Business degree

Experience:

• 5+ years of procurement and accounting experience
• Business Communication – with intermediary level (2 – 4 yrs.)
• Experience in managing a large number of stakeholders.
• Microsoft Excel – with intermediary level (2 – 4 yrs.)
• Time Management – with Intermediary level (2 – 4 yrs.)
• Analytical Skills – with Intermediary level (2 – 4 yrs.)
