We are seeking a motivated and energetic candidate to join our organization as an Executive Administrative Assistant. As part of our team, you will provide high-level administrative support to the CEO and other senior staff. Reporting directly to the CEO, you will provide executive support in a one-on-one working relationship. You will be responsible for managing calendars and assisting in day to days tasks as requested. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. You will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Key Responsibility Areas (KRA’s) –
Provide high-level administrative support to the CEO and other assigned leadership staff
Act as a point of contact for CEO, employees, customers and other external partners
Managing CEO’s calendar and setting up meetings
Basic Qualifications –
Strong spoken fluency and writing with English as a second language required, must be able to interact with people of all levels in a professional manner
Work experience as an Executive Assistant, Personal Assistant or similar role
Outstanding organizational and time management skills with a strong sense of urgency in everything and ability to meet deadlines
Ability to adapt in a faced paced environment and be responsive
Ability to use discretion, confidentiality, and good judgment to handle C-Level matters
Ability to function well in a high-paced environment and perform additional assigned duties
Extremely proficient with Microsoft Office Suite with the ability to learn new software
Must know how to schedule meetings using Zoom
Ability to type a minimum of 50 words per minute
What you will do –
Organize complex calendars and schedules; resolving any scheduling issues
Schedule meetings and other pertinent events
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents
Note-taking at meetings, capturing key take-aways, objectives and goals
Draft and prepare correspondence as needed
Assist in preparing and managing presentations and decks
Arrange travel and accommodations as needed
Perform additional duties as assigned by executives
