Your role and goals
We’re looking for a Junior Executive Administrative Assistant to join our team in Hyderabad, as we have recently established an entity and shared office space there. You will be in charge of a wide range of administrative and clerical tasks. You will report to and closely work with our VP and Managing Director to support them with day-to-day queries.
In your first 3 months you will:Work closely with our VP and Managing Director to assist him in setting up our newly co-working space, overseeing all day-to-day administration, and being the contact person for anything related to adminOrganise office and team events; handle couriers; authorise visitor admission; manage housekeeping staff, order and manage IT inventory and office suppliesAct as the first point of contact for visitors, manage phone calls, routine emails and correspondence with vendors and clientsOrganise and servicing meetings, social gatherings and eventsIn your first 6 months and beyond you will:Providing executive and administrative support to our VP & MD, including drafting emails, MOMs, preparing expense reports, submitting claims, organizing the inbox, preparing reports and summariesCoordinate and maintain the calendar including organizing all appointments, meetings, conferencesManage travel arrangements (including but not limited to visa arrangements, ticket bookings, cab arrangements, hotel bookings etc.)Manage vendors’ invoicing, coordinating with the finance team to facilitate paymentsAssist employees with relocation guidance, visas, reference letters and other requestsWork on ad hoc research projects and ensure timely completion with 100% accuracy and an eye for detailingPerform other duties as assigned
What you bring to the team
2+ years of experience in a similar profile, ideally in a start-up; experience in SaaS or a software company would be an added advantageA great command of English speaking and writingProficient using Internet, Tech Savvy, well versed with MS Office, Slack, G-suite (google docs/ spreadsheet)Excellent calendar management skillsKnowledge of invoicing and vendor management processes, willingness to learn about local tax regulations (GST) and policiesShould be high on integrity and able to maintain confidentiality in day to-day operationsStrong interpersonal skills and the ability to build relationships with staff, management, external vendors, brands, etcWell-organized, detail-oriented, and able to multi-task with great follow-up skills.
