Major responsibilities : List position’s major accountabilities
Review of VARIAN sales orders and contract upgrades for the assigned region to ensure the deliverables are compatible and achievable
Coordinate and supervise site preparations with customers, in order to ensure sites are contractually compliant for VARIAN products installations
Provide project management services by planning VARIAN activities and resources for installation of VARIAN products on prepared customer sites, to ensure installations and upgrades can be carried out from start to end according to plans established and contracts agreed with customers
Collect documents of Acceptance Test results, to ensure that all contractual conditions are met according to schedule for final handover of the installation project to the customers
Plan, design and manage the implementation of all new system installations and large system upgrades, to ensure highest quality whilst minimizing costs
Interface externally with customers and 3rd party vendors / architects for the timely execution of projects to ensure that they can perform their work according to established installation project plans and that necessary actions are taken to resolve issues and problems
Record all information resulting from project meetings and site inspections with customers, VARIAN installation engineers and external contractors, in order to provide all parties, the necessary information to enable them to perform their activities according to established installation project plans
Major responsibilities : (cont.)
Maintain procedures and tools such as MS project/Task-Ray, Digi Dashboard, Gantt charts, Travel reports, check lists and escalation reports to enable all parties to perform their activities according to established installation project plans
Interface internally with Installation Supervisors / sales organization / order processing / centralized services to provide them the necessary technical support on installations and optimize customer relations
Develop and maintain close working relationships between VARIAN sales, order processing, installation teams, applications teams and European & APJI local and regional service managers, to achieve a smooth processing of customer orders according to installation and upgrade plans and provide regular reports on ongoing installation projects
Monitor installation process indicators and conduct debriefings, in order to track issues and take corrective actions to solve problems and ensure installations are carried out according to established installation project plans. Monitor customer facility preparation and coordinate equipment shipment schedules to ensure timely and effective installation and commissioning of equipment
At completion of a project, collect relevant documents such as but not limited to:
Acceptance Test results
Acceptance Letters and/or Installation Verification Forms
Customer configuration information
to ensure that all contractual conditions are met according to schedule for final handover of the installation project to the customer and local VARIAN Service
Provide accurate data for revenue recognition to ensure accurate forecasting.
Review / approve documentation flow per project to use consistent work methods
Perform other duties as assigned
As a subject matter expert, delivers product and/or procedural training to other project managers.
Education / Experience : Educational requirements and number of years related experience acquired before or with Varian Medical Systems (VARIAN)
Educational requirements: Bachelor Degree from recognised Technical Institute or University in software engineering, Computer Engineering etc. Or related fields or equivalent education
Number of years related experience: Minimum 3-5 years of project management in an IT equipment field, Capital Equipment Field, Healthcare business or an equivalent number of years managing VARIAN IT products as a Support Engineer
Number of years Varian experience: if yes, appreciated
Project Management Certification : PMI or Equivalent Certificate
Knowledge: Things incumbent needs TO KNOW to successfully perform on the job
Project Management: Thorough knowledge and professional experience of project management (planning and execution), particularly as it relates to working across functional interfaces in a capital equipment field
Information Technology: Sound knowledge of and professional experience with microcomputers / PC based systems. Must have a general knowledge of network design, software controls systems, and server management. Knowledge of the use and deployment of software in a healthcare environment.
Customers: Thorough understanding of customers and their requirements
Contract Negotiations: Sound understanding and application of contract terms, composition / interpretative negotiation
Business Procedures: Thorough understanding and application of VARIAN business procedures
Business Strategy: Knowledge of VARIAN strategy and sound understanding of business goals, i.e. corporate strategy, product and market strategies
Business administration: Sound understanding and experience in establishing quotations, costing for jobs, monitoring and following up on execution
Technical expertise: Knowledge of processes and methods used in VARIAN product areas such as product specification, product developments / expansions and product security and safety
Health & Safety: Constant training to gain and maintain a sound knowledge and systematically apply national laws and VARIAN regulations on health & safety in the workplace environment, particularly concerning radiation and electrical safety
Human Resources: Sound understanding and experience of processes and systems to manage, motivate and develop individuals
Skills : Thing’s incumbent must be able TO DO to perform successfully on the job
Fluency in the local language and in English, Excellent verbal and written communication skills require
one other major Foreign language preferred
Must be mature and tactful
Sound understanding of commercial terms
Very articulate and skilled in interpersonal communications
Willing to travel
Willing to work normal and non-normal hours as required to support the customers
Competent understanding of all aspects of planning and installation Software Control & Support Systems
Business administration skills
Excellent skills in applying VARIAN health & safety regulations to job holder’s work environment
Conflict Management and negotiating skills desired .
